Executive Assistant (12 Month FTC)

Manchester City Centre

Role

To provide Executive Support across the business, most departments handle their own administration under their own remit, although occasionally the Directors require support to progress with projects and meetings. This support varies from straightforward administration tasks to high level project related work. This is a busy cross functional role, where you will be expected to work with all people across the departments.

Executive Assistant - Core Responsibilities

CEO Support:

  • Organise, attend and distribute quarterly Board meeting minutes and circulate Board pack. Support the CEO with follow up actions and projects from these meetings
  • Ensure the notes from senior team reviews & bi-annual appraisals are documented and distributed
  • Organise, attend and distribute the agenda and minutes from the fortnightly Executive Meeting. Support the CEO with the follow up actions from these meetings
  • Organise biannual Journey Plan meetings, these are strategy days where you will be expected to arrange the meeting location, agenda and minutes. Support the CEO on the project work following these meetings
  • Assist with personal administration as and when required (i.e. diary management and meeting organisation for Board meetings outside of the organisation, quarterly tax return, personal travel, expenses etc)

People Development:

  • Support with the organisation of biannual management conferences, employee conferences, and Deputy Manager workshops
  • Help in the coordination of the training days
  • Assist with provisions and arrangements for conferences and finding interesting venues
  • Manage the company calendar and track conference budget

Operations:

  • Support with the minute taking and organisation of taking bi-weekly Operations and Club and Live Operation meetings
  • Support Exec Heads of Departments as and when required

Office Management:

  • Ensure the smooth running of Head Office on a day to day basis
  • Management of stationery budget and stock
  • Management of the Board room diary
  • Ensuring all training days/meetings taking place in boardroom are fully supported

Contract: 12months FTC

Salary: £30k

Hours: 8-5.30pm (Bi-Weekly board meetings requiring a 6.30am start)
