Robert Half are proud to be working with UKSG on an exclusive partnership to recruit an Accounts & Office Administrator to join their growing establishment in Witney on a full-time permanent basis. The Company

UKSG is a not-for-profit, professional interest group for the scholarly communications and knowledge community. UKSG are a registered charity which is governed by The Main Committee who act as the Board of Trustees. The organisation consists of approximately 450 organisational and individual members and is funded by annual memberships and conferences.

UKSG runs a major three-day annual conference with over 900 delegates, as well as a smaller one-day conference and annual forum, and an extensive training and education programme involving a range of seminars and webinars. It produces a peer-reviewed open access journal, Insights, three times a year and a fortnightly online newsletter, UKSG eNews, for its members. UKSG is also involved in long running projects with a research, innovation or standards development component, often with partner organisations.

Volunteer effort from within the scholarly community of librarians, publishers and intermediaries is essential to the successful running of the organisations activities, and as well as the Main Committee/Board of Trustees, there are currently two standing subcommittees, and task and finish groups which are set up for specific purposes. Around 50 volunteers regularly donate their time and expertise to the organisation, and many more provide their services as expert speakers and chairs at events on an ad hoc basis.

The Role

Accounting Duties (approx 50% of role):

  • Processing payments and receipts transactions including entry onto Sage
  • Maintaining the organisations Sage records in a timely fashion, observing statutory and bank reporting deadlines
  • Reconciling credit card transactions, cheques, BACS payments and invoices against bank statements
  • Generating invoices for activities such as membership renewals and conference and seminar attendance, chasing payments
  • Liaison with suppliers and customers to resolve queries
  • Credit control and logging and managing debtors
  • Producing monthly management information reports
  • Preparing and submitting quarterly VAT Return and EC Return
  • Assisting with the compilation of year end accounts and liaison with accountant/auditor

Administrative Duties:

  • Supporting the Marketing function in administrative support relating to membership renewals, invoicing and query handling
  • Logging renewal data onto membership database
  • Produce database reports as required
  • Booking; venues, meetings, catering for meetings as required
  • Arranging/booking travel and accommodation for team members
  • Answering calls and dealing with queries
  • Managing office infrastructure but liaising with suppliers, equipment renewal and maintenance, fault reporting and office supplies
  • Administering UKSG archives in accordance with records management principles on retention and disposal
  • Administering shared file stores to ensure appropriate management, archival and versioning of documents
  • Covering other administrator duties as required including; processing delegate bookings for events, producing printed materials and compiling delegate packs for events, webinar administration, posting content onto the website and writing committee meeting minutes


  • Previous experience within an Assistant Accountant or Accounts Assistant role exposed to management accounts responsibilities (minimum 2-3 years)
  • Ideally AAT/ICB qualified or QBE (Qualified By Experience)
  • Experience working within a not-for-profit or higher education/publishing organisation would be desirable
  • Use of computerised accountancy system such as Sage are essential
  • Strong attention to detail
  • Excellent communication skills
  • Excellent organisation skills
  • Ability to use own initiative and work independently with minimal supervision
  • Competent in Microsoft Excel

Salary & Benefits

  • £23,000 - £27,000 (according to experience)
  • 25 days holiday (plus bank holidays and additional Xmas/New Year closed days)
